If you are unable to attend a session and cancel 48 hours prior to your session you will not be charged. The full fee will be charged for sessions cancelled with less than 48 hours’ notice.

What rights you have over your data

You may request at any time the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. Where we send your data

Contact form entries may be checked through an automated spam detection service.
The information you provide will be stored on our webservers and our email servers, therefore it may be seen by IT companies supporting our business (insightstudio.co.uk). Your privacy will always be respected. Information gathered from further contact or counselling sessions is dealt with in our Counselling Privacy Policy (please see point 5 below)

Counselling Privacy Policy

Rachel Barlow Counselling takes your privacy and confidentiality seriously. This policy
explains how I collect, use, store, and protect your personal information in line with UK data
protection law (UK GDPR and the Data Protection Act 2018).

  1. Information I collect
    Your contact details (name, phone number, email address, home address)
    Current prescribed medications.
    Brief assessment information at the start of therapy.
    Session notes (kept minimal, factual, and for therapeutic purposes only).
  2. Why I collect this information
    Arrange and provide counselling sessions.
    Keep a basic record of our work together to support the therapeutic process.
    Contact you regarding appointments or relevant matters.
  3. How your information is stored
    Paper notes are kept securely in a locked cabinet.
    Digital information (emails, texts, documents) is stored on password-protected devices.
    I am the only person with access to this information.
  4. How long your information is kept
    For adults, counselling records are normally kept for 7 years after therapy ends.
    For children/young people, records are kept until age 25 (or 26 if therapy ended when the
    young person was 17).
    After this period, records are securely destroyed.
  5. Sharing of information
    Your information is treated confidentially. I will not share your details with third parties
    except:
    • If required by law (e.g. risk of harm, safeguarding concerns, terrorism, money
    laundering).
    • If ordered by a court.
    • With your consent (e.g. if you ask me to liaise with your GP).
  6. Access to your information
    You have the right to request access to information I hold about you.

Counselling notes are my private working tool and are not usually shared in raw form.
If you request access, I may provide a written summary instead, which sets out the themes
of our work in a way that is supportive and clear.
Requests will be responded to within one month, in line with UK GDPR.

    • Request correction of inaccurate data.
    • Request deletion (where appropriate).
    • Raise concerns with the Information Commissioner’s Office (ICO).
